Fast Answer Questions...

How long does the design process take?

This question, as you can imagine, depends entirely on the complexity of the event, the resources and components required for its development, etc.
In any case, we always try to ensure that this process falls within the timeframes you have in mind.

Who is in charge of the graphic content of the presentations?

Totally your choice, there are clients who order it or manage it with their own internal or usual marketing departments.
But if you prefer or have nowhere to turn, we can make this task easier for you and we can even collaborate hand in hand with your teams.

When should we select a technical provider?

Ideally, they should be involved in the project as early as possible. That way, they can experience the event from its inception and attend technical visits, providing more accurate and specific quotes for the venue.

What exactly is technical event production and why do I need it?

Technical production is the orchestration of all the audiovisual and lighting elements that make your event look and sound incredible. This includes sound design, lighting, LED screen or projector setup, and technical support to ensure everything runs smoothly.

What is the first step to start working with you?

The first step is to have a conversation. I need to understand the purpose of your event, the number of attendees, the type of venue, and, if possible, your budget for the technical side. With this information, we can begin planning and create a proposal tailored to your specific needs.

Do you only work with high-end equipment? Can you accommodate my budget?

Absolutely. I work with a wide range of equipment, from standard solutions to cutting-edge technology. My goal is to optimize your budget without compromising the quality of your event. I will always offer you several options that fit your needs, explaining the pros and cons of each, so you can make an informed decision.

Do you rent the equipment or do I have to get it myself?

I take care of everything. My service includes complete equipment management, from selection and rental to transportation, installation, and dismantling. I work with a network of trusted suppliers to ensure you receive the best materials, in the best conditions, and that the entire process is smooth and worry-free for you.

What happens if there is a technical problem during the event?

That's precisely why you hired me. Throughout the event, a technical team will be on-site to monitor the operation of each system. If anything unforeseen arises, we have a contingency plan and the experience necessary to resolve it quickly and discreetly, ensuring your event continues uninterrupted.

How long before the event should I hire your services?

Ideally, you should contact me as soon as you have the date and location confirmed. This gives us enough time to design a detailed technical plan, visit the venue if necessary, and ensure the availability of all equipment and personnel. For large events, I suggest starting planning at least 3 to 6 months in advance. For smaller events, a few weeks may be sufficient.

Can you handle the technical production of a virtual or hybrid event?

Yes. Technical production has evolved significantly. I offer comprehensive services for virtual and hybrid events, including streaming platform setup, camera and microphone management for remote speakers, and live media integration, ensuring a professional experience for both in-person and virtual attendees.

Do we need special permits or licenses for the technical equipment?

In most cases, permitting is the responsibility of the client or event organizer, especially regarding venue use and capacity. However, for large events or events involving special effects (pyrotechnics, smoke, etc.), additional licenses may be required. I'll guide you through the types of permits you may need and provide all the technical information required by the authorities for approval.

How do you manage the setup and teardown schedule? What information do you need from the location?

The technical schedule is based on the complexity of the event and the venue's restrictions. What I need is as much information as possible:
Access times to the venue for setup and takedown.
Site plans (if available), including the location of power outlets, anchor points, and loading access points.
Contact with the on-site support person.
With this information, I create a detailed work plan for my team that minimizes setup time and ensures everything is ready well before the first attendees arrive.

Can you help with stage design and layout?

Yes, my work goes beyond simple equipment rental. A good technical producer must be a creative partner. I can collaborate on stage design, screen layout, lighting integration, and any other elements to create an atmosphere that reinforces your event's message and maximizes its visual impact. My goal is to ensure that the technology integrates harmoniously with the overall event design.

How do you manage the equipment's power consumption? Do we need to worry about that?

Energy is the foundation of everything. The first step is to perform a thorough power calculation to know exactly how much electricity we need. I visit the venue or analyze the floor plans to identify the power outlets and their capacity. If the available power is insufficient, we can install electrical distribution boxes or, for large-scale events, arrange the use of generators. I manage the entire electrical plan to ensure there are no overloads or power outages during the event.

What is better for an event, a projector or an LED screen?

The choice depends on the venue's conditions and the event's objective.
LED screens are ideal for brightly lit environments (outdoors or during the day) and for creating a massive visual impact. They are modular, allowing us to build screens of any size and shape, and they offer an image with vivid colors and high brightness.
Projectors are a more cost-effective and versatile solution, especially in dark spaces and for large projections on flat surfaces. Image quality depends on lamp power (lumens) and resolution.
My job is to recommend the best option based on the budget, the event design, and the venue's lighting conditions.

What role does lighting play in the event? Is it just for viewing the stage?

Lighting is a powerful tool that goes far beyond visibility. I use it for:
Functional lighting: Ensuring speakers are perfectly illuminated for cameras and the audience.
Ambient lighting: Transforming the space with colors and textures to create the desired atmosphere (elegant, festive, corporate).
Effect lighting: Using smart spotlights, logo projections (gobos), or beam effects to add dynamism and synchronize lighting with music or presentations.
Lighting is crucial for directing audience attention and reinforcing the narrative of your brand or event.

How do you coordinate with the venue staff and other vendors (catering, decor, etc.)?

Coordination is essential to avoid on-site conflicts. Once you accept the proposal, I schedule a planning meeting with all key vendors. At this meeting, we share technical drawings, discuss access points, electrical requirements, and setup and takedown schedules. My team works closely with yours and the on-site staff to ensure all tasks are completed efficiently and without interfering with each other's work.

How important are technical rehearsals and the run-of-show?

Rehearsals are absolutely critical. For us, the day of the event is like a live concert: there's no room for error. A tech rehearsal allows speakers to familiarize themselves with the stage, test their presentations, and rehearse their microphone and lighting performances. The tech script is the document that details, minute by minute, everything that will happen at the event, ensuring that every light change, every video, and every audio input occurs at the exact right moment. A good rehearsal and a detailed script are key to a flawless event.
